Minimum Requirements

To qualify for this position, applicants must meet the following criteria:

  • Bachelor’s Degree (NQF Level 7) in:
    • Project Management, or
    • Project Administration
  • 2–3 years of relevant experience in project management or administration
  • Preferably experience within the public sector
  • Strong proficiency in Microsoft Office tools, including:
    • Word
    • Excel
    • PowerPoint
    • MS Project
  • Ability to work effectively in multidisciplinary teams
  • Capability to perform well under pressure in a fast-paced environment

Candidates should also have familiarity with South African public finance legislation, including the MFMA and PFMA frameworks.

Key Responsibilities

The successful candidate will provide administrative and coordination support for MFIP project managers and technical advisors.

Project Administration and Support

Responsibilities include:

  • Assisting with project establishment and documentation
  • Preparing Memorandums of Understanding (MOUs) and project records
  • Registering projects on the GTAC project register
  • Managing project document libraries and filing systems
  • Maintaining project schedules, deliverables, and risk management documentation

Governance and Compliance

The role also involves ensuring that projects meet governance standards by:

  • Monitoring project reporting compliance
  • Maintaining document version control
  • Conducting quality checks on project records
  • Preparing documentation for audits and official reviews

Meeting and Travel Coordination

Administrative support will include:

  • Organizing project meetings and workshops
  • Drafting agendas and distributing meeting packs
  • Taking and distributing meeting minutes
  • Coordinating local and international travel arrangements

Information Management and Reporting

The Assistant Director will:

  • Maintain the project tracking system
  • Compile progress reports and performance data
  • Provide statistics for project meetings and management reviews
  • Submit knowledge and project learnings to the MFIP knowledge system

Client and Contract Administration

Additional responsibilities include:

  • Acting as a first-line liaison for client departments
  • Managing technical advisor contracts and databases
  • Processing timesheets and invoices for payment
  • Assisting with resolving contractual issues
